Session summaries with reCap
reCap by Volo provides post-event session summaries for events where the service is included. It may be presented and sold with Volo as one event offering, while the current workflow crosses a service boundary after transcription.
How the workflow works
Section titled “How the workflow works”- The Producer runs and stops the session in Volo.
- Volo creates the completed transcript and makes it available in the Room and Event transcript areas.
- The completed transcript is sent to the reCap service.
- reCap creates the session summary from that transcript.
- reCap hosts the summary page for viewing.
Availability and delivery details depend on the event package and production plan. Confirm that reCap is included before promising a hosted summary to speakers, sponsors, or attendees.
What Producers should verify
Section titled “What Producers should verify”Before the event:
- Confirm that reCap is included in the event delivery plan.
- Confirm how the hosted summary link will be distributed and who should receive it.
- Prepare event and Room dictionaries for speaker names, organizations, products, acronyms, and specialized terms.
After the session:
- Stop the Volo stream normally.
- Verify that the completed transcript appears under the correct Event and Room.
- Check the Event, Room, session date, and stream start time before reporting a handoff issue.
- Follow the event delivery plan for the hosted reCap link.
Summary quality and review
Section titled “Summary quality and review”The reCap summary is derived from the completed Volo transcript. Clean program audio and well-prepared dictionaries improve the source material used for the summary.
A summary condenses the session and may omit context or details. Review it before using it as a formal record, publishing it broadly, or repurposing it as approved speaker content.
If a summary is missing or unavailable
Section titled “If a summary is missing or unavailable”- Confirm that the correct Volo stream was stopped and its transcript is available.
- Confirm that reCap was included for the event and that a delivery link was expected.
- Record the Event, Room, stream date, start and stop times, and time zone.
- Include the hosted summary URL and the exact error, if a link was provided.
- Use the support path in the event production plan or see Support and feedback.
For transcript preparation and retrieval, see Dictionaries and transcripts.
