Dictionaries and transcripts

Dictionaries improve handling of event-specific names, acronyms, brands, and technical terms. Transcripts preserve the completed caption output for later download.

  • An event dictionary is reusable across the rooms in an event.
  • A room dictionary contains terms specific to one room.
  • A room can enable Add the event dictionary to combine event terms with its own terms.

Each entry contains:

  • A word or phrase.
  • One or more optional pronunciations.

The configured dictionary limit is normally 1,000 entries. If the room dictionary is full, event terms can be queued and added automatically when space becomes available.

  1. Open the event or room.
  2. Select the dictionary control.
  3. Select the plus button.
  4. Enter the word or phrase and any pronunciation variants.
  5. Save the entry.

Use search to find an existing term before adding a duplicate. Entries can be edited or deleted individually.

Volo accepts JSON or CSV dictionary uploads.

Provide an array of objects. Each object must contain a string word and an array of strings named pronunciations.

"pronunciations": ["voh-loh"]

Use two comma-separated columns. The first is the word or phrase; the second contains pronunciations separated by semicolons.

Avoid commas inside a word or pronunciation because the importer treats them as new cells.

Prioritize:

  • Speaker and moderator names.
  • Company, sponsor, and product names.
  • Session-specific acronyms.
  • Industry terms that are commonly misrecognized.
  • Place names and non-English proper nouns.

Read representative terms aloud during rehearsal and refine pronunciations when needed.

Completed streams appear under Transcript.

On a room page, you can:

  • Download one completed stream.
  • Download all streams for that room as an archive.

On an event page, you can:

  • Expand each room to view its completed streams.
  • Download a single room stream.
  • Download all event transcripts as an archive organized by room.

Transcript filenames include the event, room, date, and stream start time when those values are available.

Stopping a stream also initiates a caption download in the originating Producer browser. Keep that immediate download as an operational copy, then verify the archived session in Volo.

When reCap is included for an event, the completed Volo transcript is sent to a separate reCap service. reCap uses that transcript to create the session summary and hosts the summary page for viewing.

Verify that the completed transcript exists in Volo before troubleshooting a missing or delayed summary. See Session summaries with reCap for the complete handoff and support checklist.
